SELECTIVE FOCUS: KEY TO EFFECTIVE MULTITASKING (Part 2)

Hi friend, sequel to the post I made two weeks ago, Keys to Effective Multitasking, I have now brought to you the concluding part of the article. If you have not read it, please do so now: Keys to Effective Multitasking (Part 1).The following are more ways by which you can make the most of your work, while handling multiple tasks.

1. Employ the Peace Tool

Nothing kills creativity as much as anxiety. Don’t feel or appear overwhelmed because of the enormity of tasks before you. Don’t feel intimidated. You’re up to the task! Think about this: how do you eat an elephant? (I’d give you the answer later). But the fact still remains that your job does not get done simply because you are anxious.

Anxiety robs you of creative energy. It breaks your mind from what you have to do, and refocuses it on why things would not work, or why it is impossible to accomplish much in a day.

So, be at peace with yourself. Take tasks as a normal part of life. Inactivity is even a more deadly disease than AIDS! (I say so). Why? Because I’ve observed that when people stop actively engaging their strengths, skills and talents, they begin to deteriorate, and seem useless and valueless. Observe retired people who are not working, and compare them with their peers who find something meaningful with which to engage themselves. Activity brings life, especially when you know how to do it to get results – productivity!

 2. Leverage on technology

There are quite a number of computer gadgets and software solutions that you can employ to help you organize your day. Sometimes, you may need to set reminders. You may need to use the internet to reach out to more people at a time. If, for example, you are to send SMS to your clients, you know it is faster and cheaper if you send it through the internet. What computers can do faster, there is no point doing them manually.

3. Delegate, if need be.

Take a careful look at your resources – time, money, energy, materials, etc. If the task must be done, then you may need to think out alternative ways of getting them done, if you won’t have the resources. You surely have people resources – utilize them.

But in order to delegate, think of how what needs to be done would benefit the person whom you ask for help. There is a channel that unconsciously we all are permanently tuned to: it is the WII-FM! You know what this means – What’s In It For Me? Once you can think that through, push it to them to help you in achieving your goals, and at the end of the day, you all will be happier and more fulfilled together.

4. Set Milestones for Yourself.

Like I asked in point 3 above, you eat an elephant one bite at a time. You finish a bowl of food, one spoon at a time. In the same way, chunk your tasks into sizeable bits, and preferably group related tasks. Then it gets easier to measure your progress as you finish each group of tasks. But I suggest that you focus first on the tasks that would bring you the most reward for the day. In management, this is called the 80/20 Principle. That is, 20% of your task that will bring you 80% of the results that you seek. Usually, these are the most difficult tasks. But you must just make up your mind to start and to finish them – as fast as possible.

5. Celebrate Milestones Covered

Reward yourself when you finish each group of related tasks or milestones. You can stretch, walk around the office, take a snack. Just a way of giving yourself a pat on the back that you have done a great job! At least if no one praises you yet, you can praise yourself. Boy, that was awesome!

6. Define What Success Means to You

I think one of the reasons people don’t get much from the day is because they don’t know exactly what a successful day means to them. they may be involved in several activities, but still feel empty and unfulfilled at the end of the day. Don’t run your day like that. Like I mentioned in point 1 (see Part 1 of this article), you must be able to outline the things that should be accomplished in the day. And as you take a careful look at your resources, you can see the tasks you can or should attend to, and those that it is simple wisdom for you to delegate.

If you follow these steps, you are certain to achieve more in the day than the ordinary person.
